Define which information a template needs and keep useful examples for preview and testing.
Expected data
Every template needs a clear list of information it expects before it can generate a document. For a decision letter, that might include the recipient, case number, decision date, decision text, and contact details.
Add expected information
- Open the template.
- Go to the data tab.
- Add the fields the document needs.
- Mark fields as required when the document cannot be generated without them.
- Save one or more examples.
- Preview the template with those examples.
Use examples well
Examples should cover the situations users care about:
- A normal case.
- A case with optional paragraphs.
- A case with long names or addresses.
- A case with repeated rows or items.
- Each important language or brand variant.
When to update expected data
Update the expected information when the document needs a new field, an old field is no longer used, or integrations start sending data differently. Check connected workflows before publishing a change that removes or requires fields.
